Checklist for Preparation of Faculty Portfolios for Appointment and Promotion with Tenure, Conferral of Tenure, or Appointment and Promotion in the Tenure Stream

  1. Chair's Letter

    Specify proposal using explicit terms:

    • Appointment in the tenure stream
    • Appointment with tenure
    • Promotion in the tenure stream (may include satisfying the requirement for mid-course review)
    • Promotion with tenure
    • Conferral of tenure
    • Appropriate pathway (see Preparing a Portfolio for Appointment and Promotion)
    • Chair letter must provide a description of the departmental committee’s deliberation and recommendation

  2. For secondary appointments or promotions, letter from chair of secondary department
    • Secondary appointment in basic science department required for PhD in clinical department
    • If more than one secondary appointment, justification must be provided
  3. Executive Summary
  4. Referee names and email addresses (See Guidelines for External and Internal Letters of Reference)
    • Suggested referees must be equivalent or higher rank than proposed rank of candidate
    • Suggested referees cannot be in the same department as candidate
  5. Current CV in School of Medicine format
  6. Impact Factor/Citations
    List of refereed articles for the past five years with journal impact factor and number of citations for each
    1. Journal Impact Factor
      • Log on to the ISI Web of Knowledge website and establish a new session
      • The information regarding Impact Factor may be obtained through the Health Sciences Library System from a computer on campus. If you are using a computer off campus, you must securely connect first.
      • Include ONLY full-length, peer reviewed articles
      • Use the most recent impact factor available
    2. Number of Citations
      • Log on to the ISI Web of Knowledge website

      • Search by author (last name, first name followed by an asterisk *)

      • Generate a citation report by selecting the citation report icon located in the upper right of the screen.  The total number of citations for each article will be listed in the citation report.

  9. 3-5 publications (associate professor)
    6-8 publications (professor)
  10. Teaching documentation/evaluations
  11. Annual Faculty Performance Evaluations
    For submission to Provost only; not reviewed by committee
