Policy Non-Renewal Of Faculty Appointment

When a decision is made not to renew a faculty appointment, the Office of Faculty Affairs must be informed in writing (see Procedure–Non-Renewal of Faculty Appointments).  The Dean’s concurrence with a non-renewal decision is required.  The Office of Faculty Affairs will obtain the Dean’s concurrence.  This approval must be obtained before written notification to the involved faculty member is made. 

Non-Tenure Stream Faculty

For faculty with more than five years of continuous service, written notification is required no later than 5½ months prior to the end of the appointment (for contracts ending June 30, notification would be required no later than January 15).

For faculty with less than five years of continuous service, written notification is required no later than 3½ months prior to the end of the appointment (for contracts ending June 30, notification would be required no later than March 15).

Faculty members outside the tenure stream who are supported in whole or in part by grants must be notified by the applicable time before the termination of the grant as to whether or not they will be reappointed should a supporting renewal or replacement grant be obtained.

Tenure Stream Faculty

Tenure stream faculty on an initial one year appointment shall be notified in writing no later than March 15.*

Tenure stream faculty on a second or subsequent consecutive one year appointment shall be notified in writing no later than December 15.*

Tenure stream faculty on the second year of a two year appointment must receive written notification no later than December 15.*

For tenure stream faculty on a three year appointment, written notification shall be made twelve months prior to the end of the appointment.

*Notification dates of March 15 and December 15 are applicable when the contract end date is June 30; if the contract end date is not June 30, the equivalent time period (3½ months or 6½ months) should be used to calculate the notification deadline.
